Title: Administrative Assistant
Location: Michigan

The Administrative Assistant reports to the Plant Manager and is responsible for all administrative duties required to maintain business activities running smoothly and efficiently.
Position Description:
Compiles, creates, and maintains records of business transactions and office activities of the plant by performing the duties that follow.
Copies and enters data and compiles records and reports.
Obtains and disseminates information regarding all personnel matters to employees.
Receives, counts, pays out, and reconciles petty cash fund.
Prepares, issues, and sends out purchase orders, receipts, bills, policies, and statements using a computerized accounting package.
Operates computer terminal to input/retrieve data using various data base packages and prepares correspondence using word processing packages.
Operates office equipment such as typewriter, adding machine, calculator, copy, scanning, and fax machines.
Opens and routes incoming mail, answers correspondence, and prepares outgoing mail.
Submits credit applications as needed.
Prepares correspondence/meeting minutes/reports as directed.
Answers calls, greets and assists visitors/vendors/contractors.
Maintains invoice, purchasing, regulatory, and correspondence filing systems.
Prepares and submits timesheets to Corporate Office.
Maintains and tracks labor hours and PTO for employees.
Prepares and approves payment of invoices through Barricks Markview system.
Prepares checks when needed for payment.
Prepares and submits monthly budget and labor hours to management each month.
Inventories office supplies and reorders as necessary.
Assists in budget preparation by compiling historical data and other reports.
Complies with and supports EHS/EMS, regulatory requirements, and established plant work rules.
This position will require a background check and a pre-employment drug screening.
Must have excellent oral and written communication skills;
Excellent computer skills and a proficiency with Microsoft suite of program including Word, Excel, Project, Visio, and PowerPoint;
Ability to type 50 words per minute.
Ability to use computerized accounting and maintenance packages.
Excellent written and verbal communication skills;
Valid US Passport with the ability to travel internationally to countries where PIC is doing business.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Ability to write routine reports and correspondence.
Ability to speak effectively to employees of the organization and visitors/vendors/contractors.
Preferred Experience:
Ability to read and understand corporate programs, policies, procedures and instructions specific to the O&M contracts. Qualifications must include the following:
One year certificate from college or technical school; or three to six years related experience and/or training; or equivalent combination of education and experience
